Position Summary Information


Provides support to the Online and Professional Studies (OPS) Dean of Enrollment Services through completing administrative functions by performing the following duties.

Essential Duties and Responsibilities

Other duties may be assigned.
1. Serves as assistant to the Dean of Enrollment Services and supports the administrative team in scheduling meetings, maintaining calendar, checking routine communications, pulling academic records, and assisting in various student and staff matters.
2. Answers and screens telephone calls and sets up appointments for students and staff to meet with the dean and Advising staff.
3. Responds to general questions regarding Enrollment Services and Advising, provides requested information and materials, and assists in meeting student and staff needs.
4. Composes and sends routine correspondence, including mail merges, letters, emails, and faxes, to students and staff.
5. Prepares documents and organizes materials for various meetings, including Admissions and Retention, Advising staff meetings, and Admissions staff meetings.
6. Maintains Outlook calendar for Enrollment Services, including tracking and contacting students who need Advising and Admissions appointments.
7. Maintains confidential files, documents, and records, including student files. Obtains clearances for readmitting students.
8. Prepares and/or assists in the creation of various reports, including fail/withdraw, probation/suspension, cohort retention, demographic data, and others as needed.
9. Generate Microsoft Excel pivot table reports, Adobe Acrobat forms, Microsoft Word forms and mail merges, and merge comparative Excel report data.
10. Assists the Dean of Enrollment Services on specific projects related to the long term goals of the University, such as strategic planning, fiscal responsibility, and the like.
11. Presents a positive supportive image of the Enrollment Services Office, California Baptist University, and Christian Higher Education.

Supervisory Responsibilities

This position could be responsible for assigning work and/or giving direction to part-time Student Workers in order to complete work assignments.

 Ability to gather data, compile information, and prepare reports.
 Strong interpersonal and communication skills, and the ability to work effectively with a diverse faculty, staff and student body.
 Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments.
 Strong organizational skills and detail oriented.
 Excellent telephone courtesy, knowledge and experience.
 Ability to make administrative/procedural decisions and judgments.
 Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
 Ability to develop and maintain recordkeeping systems and procedures.
 Ability to resolve customer complaints and concerns.

Education and/or Experience

Bachelor’s degree from a four year college or university; or two to three years related experience and/or training; or equivalent combination of education and experience.
