Position Summary Information


Under general direction from the Director of Institutional Research, the Assistant Director of Institutional Research manages and coordinates the analysis and reporting of university data and related research projects within the area of Educational Effectiveness by performing the following duties:

Essential Duties and Responsibilities

Other duties may be assigned.
1. Research, collect, organize, and report institutional data for external surveys and government compliance reporting (i.e. Common Data Set, Integrated Postsecondary Education System (IPEDS), surveys for college guides and rankings, etc.), utilizing various computer applications.
2. Maintain university statistics and key performance indicators, providing institutional data to support internal academic and administrative decision-making processes.
3. Research and prepare institutional and program reports required for accreditation, assessment and program review.
4. Responsible for producing regularly scheduled statistical reports and responding to time-critical internal and external ad-hoc requests for information and analyses.
5. Monitor regularly scheduled collection of specific data sets, maintain records in an enterprise database, and generate reports, in coordination with other university offices.
6. Perform information research, data searches, and analyses, interpreting data from a variety of sources and presenting the information in a variety of formats, including tables, charts, dashboard displays, Web site postings, and PowerPoint presentations.
7. Ensure data integrity and consistency of reporting, according to professional standards and internal practices.
8. Protect the confidentiality of university data, according to the Confidentiality/Discretion Policy in the California Baptist University Employee Manual.
9. Work cooperatively with various university constituencies to promote continual data process improvement, by identifying ways to enhance data quality, presentation, and appropriate availability throughout the university.
10. Compose routine correspondence, and maintain documentation related to surveys and institutional data projects.
11. Plan, coordinate, and follow through to completion the process involved in reporting responsibilities.
12. Maintain scheduled office hours, occasional overtime may be required.

Supervisory Responsibilities

This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete work assignments.

 Proficiency with Microsoft Excel and knowledge of data visualization, business intelligence, and statistical software applications.
 Ability to comprehend and maintain database systems and execute and modify related reporting; experience with Jenzabar student systems and Cognos reporting tools preferred.
 Ability to work proactively and independently, and manage time effectively to meet specified time lines.
 Ability to focus on repeated tasks and ensure consistent accuracy.
 Demonstrate a dedication to customer service.
 Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
 A thorough knowledge of: Business English and arithmetic; general office methods, procedures and practices.
 Ability to plan, develop, and coordinate multiple projects.
 Ability to read and write at a level appropriate to the duties of the position.
 Ability to use independent judgment and to manage and impart confidential information.
 Ability to gather data, compile information, and prepare reports.
 Strong interpersonal and communication skills and the ability to work effectively with a diverse faculty, staff and student body.
 Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments.
 Strong organizational skills and detailed oriented.
 Ability to maintain confidentiality.
 Excellent telephone courtesy knowledge and experience.
 Ability to interpret, adapt, and apply guidelines and procedures.
 Ability to create, compose, and edit written materials.
 Ability to make administrative/procedural decisions and judgments.
 Ability to develop and maintain recordkeeping systems and procedures.
 Ability to investigate and analyze information and to draw conclusions.

Education and/or Experience

Master’s degree (M.A,) or equivalent; or four to ten years’ related experience and/or training; or equivalent combination of education and experience.

MATHEMATICAL SKILLS: Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of place and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situation.
