Summary

The Event Coordinator assists the Director of University Commencements with the management and development of commencement and related events as needed by performing the following duties.

Essential Duties and Responsibilities

: (Other duties may be assigned.)
1. Assists with planning and implementation of university commencements.
2. Assists with coordinating and implementation of commencement-related events in order to provide graduates with information and items related to the graduation process.
3. Assists director with determining and reserving space and required services for various events, as well as coordinating services with venue to include sound, audio visual, carpet, catering, parking, housekeeping, guest services.
4. Assists with ordering and distribution of regalia for graduates, faculty and program participants.
5. Works with director to update and maintain graduation-related information via the university’s website and other social media; reviewing information for accuracy and completeness, and making appropriate and necessary changes.
6. Provides quality customer service to internal and external constituencies – answering department phone calls and emails, as well as servicing students and guests in a timely and professional manner.
7. Involved to varying degrees with the production of printed materials needed for commencement events. Follows appropriate procedures to make corrections if necessary.
8. Communicates with commencement vendors, coordinates details, places orders, and hosts various vendors during events.
9. Works with the Office of Conferences and Events to request equipment and secure rentals for commencement ceremonies and other related events.
10. Supports director with professional and appropriate communications to numerous campus offices and schools.
11. Enlists, assigns, and trains volunteers from university staff to work Commencement and related events.
12. Assists director with the dissemination of information to graduates for all Commencement-related events.
13. Assists director in monitoring and evaluating operational effectiveness of Commencement and related events to effect changes required for improvement.
14. Maintains scheduled office hours, with the requirement of a flexible schedule of availability at night and on weekends.

Supervisory Responsibilities

This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.

- Ability to work long hours, and possibly overtime and weekends for all events related to Commencement.
- Skill in the use of personal computers and related software applications.
- Ability to make administrative, and procedural decisions and judgments on sensitive, confidential issues.
- A thorough knowledge of: Business English and arithmetic; general office methods, procedures and practices.
- Ability to work long hours on feet and some physical demands during Commencement-related events.
- Ability to plan, develop, and coordinate multiple projects.
- Ability to read and write at a level appropriate to the duties of the position.
- Ability to use independent judgment, and to manage and impart confidential information.
- Ability to gather data, compile information, and prepare reports.
- Strong interpersonal and communication skills, and the ability to work effectively with a diverse faculty, staff, student body and the community.
- Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments.
- Strong organizational skills and detail oriented.
- Ability to maintain confidentiality.
- Ability to coordinate and organize meetings and/or special events.
- Knowledge of standard budgeting, and expenditure control procedures and documentation.
- Ability to make administrative/procedural decisions and judgments.
- Ability to resolve customer complaints and concerns.

Education and/or Experience

High school diploma or general education degree (GED); and/or one to three years related experience and/or training; or equivalent combination of education and experience.
